Duties of the Assistant Dean for Administrative Affairs:

  • Provide administrative support and coordinate the implementation of administrative policies and procedures at the college.

  • Collaborate with the Dean of the college in developing administrative plans and programs, monitoring their implementation, and reporting on progress.

  • Coordinate with other departments and administrative units in the college to implement administrative policies and procedures in a consistent and efficient manner.

  • Manage daily administrative activities, including coordination among staff, organizing meetings and appointments, and reviewing documents and correspondence.

  • Handle employee-related matters, including recruitment, appointments, promotions, performance management, administrative training, and general staff affairs.

  • Supervise administrative and information systems in the college, including the development and improvement of internal administrative procedures and systems, ensuring compliance with legal and regulatory requirements.

  • Address infrastructure and administrative facility issues, work on their development and improvement, and ensure the provision of necessary administrative needs.

  • Handle administrative financial and budget matters, including preparing and reviewing the budget, monitoring expenses and revenues, and preparing financial reports.

  • Manage quality and administrative accreditation matters.

  • Oversee compliance and legal enforcement issues, ensuring adherence to legal and regulatory policies and procedures, and preparing to respond to internal and external monitoring and auditing requirements.

  • Collaborate with external entities, such as government ministries, official bodies, and other academic institutions, regarding administrative and organizational matters.

  • Work on developing and improving workflows and administrative procedures, providing guidance and training to administrative staff, and promoting a culture of quality and administrative sustainability within the college.

  • Assign administrative and technical staff across all college divisions according to work requirements and distribute them in a way that serves the college’s interests and needs.

  • Approve the granting of regular leave for technical staff, administrative staff, and contractors from the college’s personnel, both inside and outside Iraq.

  • Approve assigning the college’s staff and personnel to perform additional university work.

  • Approve medical reports for all college personnel, provided that these reports meet the rules and provisions stipulated in the sick leave regulations.

  • Supervise the electronic archiving system and administrative governance.

  • Organize and archive documents and correspondence using modern electronic systems to ensure efficiency, speed, and enhanced administrative transparency.
